For those interested in sending out their own District-wide announcements,
below is the official
CCC/OIT format for Announcements
1. Always send the announcement to the following 3 OIT e-mails:
cohelpdesk, Christopher Toledo, and Ewa Lick.
2. The entire statement "This message..." is always required in this format and in RED.
3. After the message statement, begin your message using your own format,
style,
colors, sizes, etc.
4. Announcements are sent to all CCC campuses; home campus only announcements
should be sent
directly to Stephanie Johnson (stjohnson@ccc.edu).
5. Announcements are reformatted and sent out to "everyone" by District OIT staff within 24 to 48 hours depending on their workload. Last minute announcements may be sent out too late to be useful. It is best to give District OIT at least 3 working days prior to an event to prepare and send out your announcement.

Forward the e-mail you wish to send to Sean Kelly (skelly23@ccc.edu). Upon approval by the Student services office, your e-mail will go out within 24-48 hours (You will also be copied).

You have two options. I suggest taking both measures to ensure junk mail/SPAM is stopped.
1) To control junkmail /Spam in GroupWise, click here for detailed information on using junk handling.
2) Stop Junkmail/SPam from coming to you and OTHERS and CCC
This procedure makes note of the offending e-mail address to be marked as SPAM and restricts e-mails messages to be sent to CCC.

E-mail address for your Department or Group
There are two types of E-mail Groups:
1) 'Service' E-mail Address: This is ideal if you wish all correspondence to go to this e-mail address AND you plan on responding from this e-mail address. Multiple people can have access to this e-mail 'account' and can send/receive mail as with any other normal e-mail account.
2) 'ListServe' E-mail Address: E-mails go to a group of people (ie.e oh_everyone@ccc.edu), but no-one will ever receive an e-mail from "oh_everyone@ccc.edu". This simply forwards to multiple e-mail addresses behind the scenes for convenience.
To request an address: E-mail ohhelpdesk@ccc.edu and indicate the type of e-mail address you want.
NOTE: All e-mail groups will be created in the old iPlanet system until the late Spring.

Office 2007/2003 Compatibility

More than likely, the document is saved in the newer XML format that Office 2007 saves in by default. (extension docX, xlsX, pptX, mdbX).
You have two easy options:
1) Go here and download the Microsoft Office Compatibility Pack for Word, Excel, and PowerPoint 2007 File Formats.
By installing the Compatibility Pack you will be able to open, edit, and save files using the file formats new to Word, Excel, and PowerPoint 2007 . The Compatibility Pack can also be used in conjunction with the Microsoft Office Word Viewer 2003, Excel Viewer 2003, and PowerPoint Viewer 2003 to view files saved in these new formats. 2) Save the original document in the older format compatible with others using the older version of Office (Office 2003, etc). You have two options here:
A) Save in 2003 ONE-TIME only.
Note: You have to perform this step each time you save and want to share with others who may not have Office 2007. The advantage here is by default you can use and explore some of the 2007 features when you don't need to share. You must make a conscient effort to save in 2003 format when needing to share however.
1) The author of the document must re-open the file and SAVE AS in a format in compatible with Office 2003 or older.
To save the file, click the Office button in the upper left corner.
Select Save As and a menu will open to the right. See figure 2.
Do one of the following:
Once you select the corresponding file format a Save dialog box will open.
By default, your document should save with the same name and in the same location as before.
You may now notice two documents with the same names. For exmaple, for Word documents, If you're lucky, you will see the file extensions, so that your documents say: "Name-Of-Your-Document.docx" and "Name-Of-Your-Document.doc". The latter (.doc) file is the file you want to send to others who have older versions of Office (2003, etc).
If you ONLY see two files with the same names without extensions (*.doc, etc.) , you may need to turn on file extensions on your computer. GO HERE to do this.
To change this setting, click on the Office Button in the upper left hand corner

Now click the (Word,Excel,Powerpoint,or Excel) Options Button Note: You will see Word Options, Excel Options, Powerpoint Options, OR Access Options depending on what you're using)

Click on the Save tab, and then change the drop-down menu for "Save files in this format" to be "Word 97-2003 Document". Note: You will see Word 97-2003, Excel 97-2003, Powerpoint 97-2003, OR Access 97-2003 depending on what you're using).

Click OK to make the changes pernament. Your file will now save in a format others with Office 2003 or older can open.
Microsoft Office Publisher 2007 uses the same file format as Microsoft Office Publisher 2003 and Microsoft Publisher 2002. Therefore, there are no separate options for these versions in the Save as type list. Click here for more information.
Important When you save an Office Publisher 2007 file in Publisher 2003 or Publisher 2002, certain features are not supported. For more information, see the Office Publisher 2007 features that are not supported in Publisher 2003 or Publisher 2002 section.
Are your file extensions hiding from you? Do you see file names but secretly wish you could see the extension too?

Now, here's how to set your computer so you can see your extensions
1. First, open Windows Explorer by right-clicking the Start button, Explore .
2. Click the Tools menu, Folder Options .

3. From the resulting screen, click the View tab. Now, look for the option to " Hide extensions for known file types ". You need to uncheck it in order to see the extensions (it's checked by default).

Click APPLY and OK.
Return to the folder where your documents are and notice an extension (.doc, .xls, .ppt, .jpg, etc.... ) at the end of each one.
All those files stored in your cache take up space, so from time to time, you may want to clear out the files stored in your cache to free up some space on your computer. This is called clearing the cache.
To find out which version you have: From the Internet Explorer toolbar, click Help , and then click About Internet Explorer .
The version number is listed in the window that appears.
IE Version 6

On the General tab, in the Temporary Internet Files section, click the Delete Files button. This will delete all the files that are currently stored in your cache. ![]() The Delete Files button |

IE Version 7
On the Internet Explorer 6 Tools menu, click Internet Options . The Internet Options box should open to the General tab.

Click on Browsing History

To completely clear all items, click "DELETE ALL"

Click "OK" to confirm.
Find the My Computer icon on your desktop. It is USUALLY located in or near the upper left corner of your computer screen, and it USUALLY looks like a small computer, like these examples:

You can also go to START->MY COMPUTER
Right-click on the My Computer icon (which means you click once on the icon with the right mouse button instead of your normal mouse button). A menu should appear like the one shown below. Choose Properties from the menu.
A window will appear with the title System Properties . On the right side of this window, look for the word "System" and for the information underneath it. This will tell you what version of Windows you are running. The example below is for Windows XP.

If, under "System", it says:
Microsoft Windows XP: You have Windows XP
Microsoft Windows 2000: You have Windows 2000.
Microsoft Windows 98: You have Windows 98.
Microsoft Windows 95: You have Windows 95.
Microsoft Windows NT: You have Windows NT.
Microsoft Windows Me: You have Windows ME.
